Project Coordinator

About the Role

Avlyon Technologies is seeking a Project Coordinator who thrives in a fast-paced startup environment and values structure, clarity, and creative problem-solving. The ideal candidate will treat project management processes as their guidebook, ensuring disciplined execution while adapting intelligently to real-world challenges.

You will work directly with product, design, QA, engineering, DevOps, and client teams to ensure projects stay on track, within budget, and aligned with scope. You will also identify process gaps, drive improvements, and foster collaboration across diverse stakeholders. This role is suited for someone who is process-oriented, proactive, and creative enough to deliver outcomes despite constraints.

Key Responsibilities

  • Project Coordination and Delivery: Coordinate all project activities, ensuring progress aligns with defined methodologies, quality standards, and timelines.
  • Process Adherence: Follow Avlyon’s project management practices with consistency and attention to detail in every stage of the project lifecycle.
  • Process Improvement: Identify inefficiencies in project workflows and recommend enhancements to increase speed, clarity, and collaboration.
  • Fixed-Cost Project Ownership: Track and manage deliverables with strict attention to scope, effort, and resource utilization while balancing flexibility with control.
  • Timeline Management: Maintain accurate, meaningful timelines. Challenge unrealistic schedules with logic and data, and enable parallel workstreams to reduce dependency bottlenecks.
  • Risk Management: Detect potential risks early, propose actionable mitigations, and ensure follow-through to prevent missed deadlines or scope issues.
  • Stakeholder Collaboration: Facilitate seamless communication between Product, QA, UI/UX, DevOps, Engineering, and Client stakeholders to maintain alignment and accountability.
  • Creative Problem Solving: Handle delivery challenges with a solutions-first mindset. Find innovative ways to balance workload, parallelize tasks, and meet commitments despite obstacles.
  • Reporting and Documentation: Maintain comprehensive project documentation, timelines, decisions, risk logs, and action items with accuracy and transparency.
  • Continuous Improvement: Participate in retrospectives, track lessons learned, and recommend process improvements for future projects.

Requirements

  • Bachelor’s degree in Business, Management, IT, or a related field.
  • 3+ years of experience in project coordination or delivery management within software or digital product environments.
  • Proven success managing fixed-cost or fixed-scope projects with clear outcomes.
  • Strong understanding of Agile and SDLC principles and the ability to adapt them effectively in a startup environment.
  • High proficiency in JIRA, Confluence, or similar tracking and reporting tools.
  • Excellent organizational skills, attention to detail, and follow-through.
  • Strong risk management and communication skills, with the ability to identify issues early and resolve them collaboratively.
  • Creative thinker with a results-driven mindset and ability to stay resourceful under constraints.
  • Confidence to ask probing questions, challenge inaccurate assumptions, and drive realistic, achievable timelines.

Preferred/ Nice to Have

  • Hands-on experience coordinating client-facing technology projects.
  • Familiarity with dependency management and enabling parallel execution across workstreams.
  • Understanding of release planning, QA coordination, and cross-team delivery rhythms.
  • Experience working in startup or lean environments where adaptability and ownership are critical.
  • Exposure to data tracking or reporting metrics for delivery performance.
